Shared Tasks: Maxie Suggests, You Assign, Nobody Forgets
Getting there is half the job. Maxie helps with that half too.
Try Maxie free →Shared Tasks means you stop being the only one who remembers the kit, the form, the present, the thing you booked weeks ago. Maxie suggests what's needed, and whoever's actually handling it gets told directly, not left to find out later.
You remembered the swimming lesson. You did not remember that swimming lessons need a swim bag, a towel, and the two pound coin for the locker, until you were standing in the changing room car park realising you had none of them.
It's not that you're bad at this. A calendar only tells you when something happens, not everything it takes to actually get there. Work that bit out yourself for the fifth event this week, and you're the only one who remembered any of it, because nobody told your partner there was anything to remember either.
of parents said remembering everything, not doing it, was their single biggest family challenge. Shared Tasks is the direct answer to that finding.
An event on the calendar is only half the story. The other half is everything it takes to actually turn up, and that's what Shared Tasks is for.
How it works
1. Maxie suggests what you'll need
Add an event with Quick Add, or forward a booking confirmation with Email to Calendar, and Maxie has a go at the prep for you, straight away, no extra tap required. Swimming gets "pack swimming bag." A party gets "buy a present." It's not a guess pulled from nowhere either: Maxie looks at what your family has needed for events like this before, so the suggestions get more like your family's, not just any family's, the more you use Maxie.
2. Adjust, assign, and set when you want reminding
Keep what's useful, add what's missing, assign anything to whoever's actually handling it, a partner, a grandparent, anyone. Choose when you want reminding, anywhere from the same day to three months ahead.
3. One list, everything outstanding
Every prep task from every event lands in one to-do list, so you're not hunting back through the calendar to remember what needs doing this week.
It remembers how your family actually does things
Generic advice is easy. Knowing that your family always books parking a month in advance, or always packs the swimming bag two days early, is harder, and it's what Maxie actually does. Every time you confirm or adjust a suggestion, Maxie quietly learns from it, so next time round the suggestion is closer to right the first time.
Assign it, and they'll know
Hand a task to your partner or a grandparent and they get told directly, not left to stumble across it later. Multiple tasks for the same event get bundled into one clear notification instead of a flurry of separate pings.
Reminders that know when to stay quiet
The evening before, Maxie checks what's genuinely outstanding for tomorrow and lets you know, specifically: whose kit, for what, and when drop-off is. If there's nothing left to do, Maxie doesn't send anything at all. No reminder for the sake of a reminder.
Never nagged by last term's swimming kit
For anything that repeats, a weekly club set up with Add It Once, a regular pickup, each week gets its own fresh prep task rather than one that follows you around forever. And if a past one never got ticked off, it quietly clears itself rather than sitting there making your list look worse than it is.
Straight from a forwarded email
Forward a booking confirmation or a school letter to Email to Calendar, and any prep it implies, kit needed, forms to bring, deadlines to hit, can come through as ready-made tasks alongside the event itself. No re-typing what the email already told you.
What this isn't
Reminder timing tops out at three months ahead, so for something further out than that, you'll want to set the reminder closer to the time. And bundling groups tasks by event, not into one daily digest of everything outstanding across the whole family, each event's tasks arrive together, rather than everyone's tasks arriving at once.
Shared Tasks is included on every plan, with your monthly AI Assist allowance covering fine-tuning them further from any existing event.
Quick Add: Type an Event, Maxie Builds It
Type any event like you'd text a friend, no forms or dropdowns. Maxie works out the day, time and who's going, ready for you to check in seconds.
Email to Calendar: Forward It, Maxie Takes It From There
Forward school emails, PDFs or photos to your Maxie address and get checked calendar events back, with duplicates merged and routines spotted automatically.
Add It Once: Weekly Clubs Sorted for the Whole Term
Set up football on Tuesdays or swimming on Thursdays once, and every future session appears automatically, kit list included, all term long.

One shared family calendar everyone sees the same version of. Invite a partner, co-parent, grandparents or a childminder, updates land for everyone.
Frequently asked questions
Does adding an event automatically create prep tasks, or do I have to ask for them?
Automatic, no extra tap required. Add an event and Maxie has a go at the prep straight away, based on what that kind of event usually needs.
Do the suggestions actually get better over time, or are they generic?
They get more specific to your family. Every time you confirm or adjust a suggestion, Maxie quietly learns from it, so a suggestion for your family looks less like generic advice and more like what your family actually does.
Can I assign a task to someone else, like a partner or a grandparent?
Yes. Assign anything to whoever's actually handling it, and they get told directly, not left to stumble across it later.
What happens if there are several tasks for the same event?
They get bundled into one clear notification for whoever's assigned them, instead of a flurry of separate pings.
How far ahead can I set a reminder?
Anywhere from the same day to three months ahead, whatever suits the task.
Will I get a reminder even if there's nothing left to do?
No. The evening before, Maxie checks what's genuinely outstanding and only says something if there's something to say. No reminder for the sake of a reminder.
For a weekly club, do I get a fresh task every week or one that follows me around forever?
A fresh one each week. And if a past one never got ticked off, it quietly clears itself rather than sitting there making your list look worse than it is.
Can tasks come from a forwarded email, not just an event I added myself?
Yes. Forward a booking confirmation or a school letter, and any prep it implies, kit, forms, deadlines, comes through as ready-made tasks alongside the event.
Is Shared Tasks included on every plan?
Yes. Prep task suggestions are included on every plan, with your monthly AI Assist allowance covering fine-tuning them further from any existing event.
